Terms and Conditions for NSGO Membership
Effective Date: 1. December 2026
- Membership Eligibility
- Membership is available to The Nordic Society of Gynaecological Oncology (NSGO) – for individual professionals dedicated to the care of women with gynaecological cancer.
- We are a professional platform for individuals who provide care for women with gynaecological cancer in Nordic countries. The society offers full membership to professionals who are actively involved in the field of gynaecological cancer in a Nordic country, either professionally or scientifically. Meanwhile, individuals who do not meet the Nordic geographic criteria can apply for associate membership, but without voting rights. Notably, membership is not open to representatives from the pharmaceutical industry.
- To apply for membership, one can fill out the application form that is available on the NSGO website. Upon submission, the NSGO Board will review the application, and if approved, the individual will be requested to pay the membership fee. The details incl. personal information of the new member will be stored by the NSGO office in the NSGO membership directory. By applying for membership, the individual agrees to the NSGO privacy policy.
- The NSGO Board welcomes all eligible individuals to apply for membership and looks forward to reviewing their applications.
- By signing up, you agree to provide accurate and complete information during registration.
- Membership Term
- Membership is valid for 12 months from the date of activation.
- Renewal occurs annually unless canceled by the member prior to the renewal date. Cancelation is done by not paying for the coming year after receiving the renewal notification.
- Annual Renewal
- Membership will automatically renew each year unless you opt out before the renewal date (point 2 in the section above).
- Renewal fees will be charged to the payment method on file.
- You will receive a renewal reminder at least 30 days prior to the renewal date.
- Fees and Payment
- Membership fees are non-refundable except as required by law.
- All fees must be paid in full at the time of sign-up and upon renewal.
- Cancellation Policy
- You may cancel your membership at any time by contacting Adela Ioana Buda at adela.ioana.buda@regionh.dk.
- Member Responsibilities
- Members agree to comply with all applicable rules, policies, and guidelines.
- Misuse of membership benefits may result in suspension or termination without refund.
- Changes to Terms
- We reserve the right to update these Terms and Conditions at any time.
- Members will be notified of significant changes via email or website notice.

Terms and conditions for registration for MEETINGS AND CONFERENCES
Meetings and conferences:
NSGO meetings and conferences bring together NSGO members and non-NSGO members to discuss the latest advancements in cancer treatment and clinical trials.
We offer a platform for knowledge sharing, collaboration, and innovation in oncology.
We look forward to your participation in shaping the future of cancer research and care.
Specific information about each individual meeting and conference can be found when clicking on the specific event.
Registration for meeting and conferences includes:
- Admission to onsite scientific and educational sessions with the possibility to interact with speakers, session chairs and panel speakers
- Networking opportunities with the congress faculty and peers
- Interaction with industry partners in the exhibition area
- Participation in the Industry Satellite Symposia
- Post-event resources (webcasts, slides, abstracts) on membership portal)
Registration fees and deadlines
The NSGO Secretariat must receive one completed registration per participant and the corresponding payment in EUR by the given deadlines.
Price and payment:
Price are exempt from VAT.
Acceptable payment solutions can be found at each individual event under the payment link.
Cancellation and refund policy:
If the customer cancels the event, registration refunds will be granted if notification of cancellation is sent in writing to the NSGO or NSGO-CTU Office no later than 1 month prior to the event. After this date, refunds will not be made. Refunds are issued based on the payment method used at the time of purchase.
If NSGO or NSGO-CTU cancel the event, the customer will be offered a refund, if one has been made, or alternatively registration for possible reallocation.

We treat the following personal information about members:
General personal information: For example, contact information such as name, work address, work phone number, private phone number, date of birth, email address, country, work title, date of membership, date of membership termination and cv in relation to membership application. Parts of credit card number via Quickpay and, if applicable, Bank account number for reimbursement purposes. When applicable, Board Members may be asked to give NSGO copies of other personal documents (for example passport or tax bill) in relation to the Danish Laundering Act.
Other information: For example, positions of trust, board membership and other duties in relation to the organization.
We collect personal information from:
Usually, we will get the information from you, when you register to become a member of NSGO and when you apply for reimbursements or pay your membership fee
The organization’s legal basis to process personal information:
- That we as an organization have a (legitimate) interest in processing your information
- That it is necessary for us to fulfill an agreement with you
- You have agreed that we can process your information via becoming a member of the organization
The purpose of processing personal information:
- That we can run the organization’s activities, including planning, implementing and following up on them
- To invite you to vote for Board and President Elect elections
- To distribute newsletters
- To comply with legislation
- To deliver services, in the form of the possibility to participate in the Annual Meeting, Investigator Meeting and if applicable Strategic Meetings, Board Meetings, Scientific Committee Meetings, Foundation Meetings
- To notify members about other Gynecologic Cancer Managing your relationship with the organization
- To handle your membership rights
- For you to fulfill your obligations as a member of the organization, including paying the membership fee, etc.
- Being able to display situation images from a specific event in the organization for instance from NSGO Annual Meetings
- To maintain historical value data for statistics and the like
Consent:
When you become a member, we have a legal basis to process your personal information for the (legitimate) interest of the organization. However, it may happen that we judge it necessary to obtain your written consent for other purposes. In that case you will have the opportunity to voluntarily agree, and you may withdraw it at any time by notifying us.
Dispatch of your personal information:
We do not disclose information about you to anyone outside the organization without your consent, however, it should be noted, that if you e.g. accept an invitation to a meeting, your personal information might be forwarded to the meeting location or the meeting organizer. Only personal information relevant for the 3rd party will be disclosed in these circumstances.
Storing and deleting your personal information:
For historical reasons and as your details might be saved in old attendance lists, email correspondence and minutes from meetings, we cannot promise that all personal information about you will be deleted, if you terminate your membership.
Your rights:
You have a number of rights via the General Data Protection Regulation (GDPR):
- The Right to Information (to be informed what information we process about you)
- The Right to Rectification (to have false information about you corrected)
- The Right to Restriction of processing (under certain conditions, to have the processing of your data restricted)
- The Right to Object (to object to your information being used for wrong purposes)
You may make use of your rights by contacting us. If you submit a request to have your personal information corrected or deleted, we will investigate whether the conditions are met and, in that case, make changes or deletions as soon as possible and, if applicable, also notify our data processors to do so.
You can file a complaint with the supervisory authorities – The Danish ‘Datatilsynet’ – About processing your personal information (www.datatilsynet.dk).
Revision of Privacy Policy:
We reserve the right to change the organization’s privacy policy. When we change privacy policy, we also change the date and version number at the bottom of this document. In case of significant changes, you will receive a notification.
