Information We Collect
We treat the following personal information about members:
- General personal information: name, work address, work phone, private phone, date of birth, email, country, work title, membership start/termination dates, CV, partial credit card number via Epay, bank account number for reimbursements, and—when applicable—copies of ID documents (e.g., passport or tax bill) under the Danish Anti‑Money Laundering Act.
- Other information: positions of trust, board membership, and other organizational duties.
How We Collect Your Information
We usually obtain this information when you register as a member of NSGO or when you apply for reimbursements or pay your membership fee.

- Our legitimate interest in running the organization and managing membership.
- Necessity to fulfill our agreement with you.
- Your agreement to process data by becoming a member.
Purposes of Processing
- Planning, implementing, and following up on organizational activities.
- Invitations and voting for Board and President‑Elect elections.
- Newsletter distribution.
- Compliance with legal requirements.
- Providing services: Annual Meeting, Investigator Meeting, and, where applicable, Strategic, Board, Scientific Committee, and Foundation Meetings.
- Member communications and relationship management.
- Handling membership rights and fee obligations.
- Displaying event photos (e.g., Annual Meetings).
- Maintaining historical data for statistics and reporting.
Consent
By becoming a member, you grant NSGO a legal basis to process your personal information for our legitimate organizational interests. For other processing purposes, we may request separate written consent, which you may withdraw at any time by notifying us.
Data Sharing
We do not disclose your information outside the organization without your consent. However, if you accept a meeting invitation, relevant details may be forwarded to the event organizer or venue. Only necessary personal information is shared in such cases.
Data Retention & Deletion
Some personal information (attendance lists, emails, meeting minutes) may persist after membership termination. We cannot guarantee complete deletion of historical records.
Your Rights under GDPR
